Southeast Truss Erectors: one system for the jobs, the money and the materials.

A commercial truss installer tracked its jobs, invoices, change orders and materials in QuickBooks and scattered places. We built one system for all of it, connected it to QuickBooks, and wrote the procedures the team follows.

HQ Labz didn't just build us a tool: they installed an operating system. The biggest difference is clarity: we can see what's happening in real time and make decisions faster.

We went from scattered tracking and manual steps to a single source of truth that connects jobs, invoices, change orders, inventory/materials, and reporting. The role-based views made it easier for Finance, Fabrication, Installation, and leadership to stay aligned, and the automation around retainage and subcontractor payments removed a lot of guesswork.

    Job management moved out of QuickBooks and scattered tracking into one Airtable base: jobs, statuses and change orders.

  • QuickBooks, connected

    QuickBooks and Airtable talk to each other, so invoices and job records stop living in two places.

  • Materials counted

    An inventory app for materials, synced every night, so counts and job costs come from the same numbers.

  • A view for each team

    Finance, fabrication, installation and leadership each see the part of the system they work in.

  • Retainage and payouts

    Retainage and subcontractor payments are worked out by the system, not by hand.

  • Reports and a safety manual

    A daily report system and the company's safety manual and procedures, so the team runs the system the same way.

The same company's daily reports run on Construct Hub Pro, the field report app we built: the crew answers on the phone as the day happens, and the office signs a clean PDF. Its web app is live with the company's real jobs; the iPhone app is in testing.
